Overview
We are seeking a highly organized and driven Executive Coordinator to support a VP of Operations in a fast-paced e-commerce environment. This role plays a critical part in coordinating projects across Accounting, Operations, and Sales, ensuring initiatives are executed efficiently and delivered on schedule.
The ideal candidate thrives in a dynamic setting, can manage multiple priorities, and has experience working with overseas suppliers, particularly in Asia.
Key Responsibilities
Lead cross-functional meetings with internal stakeholders, communicating priorities, timelines, risks, and progress updates
Manage projects through the full lifecycle, from planning through execution and completion
Partner with department leaders to define project scope from sampling through production delivery
Track milestones, deliverables, and timelines to ensure accountability and successful execution
Coordinate workflows across departments to eliminate bottlenecks and improve efficiency
Monitor project performance, identify risks, and implement corrective actions as needed
Maintain clear documentation, reporting, and communication with leadership
Collaborate with overseas suppliers and manufacturing partners, including frequent communication with teams in Asia

Job Requirements
Requirements
Bachelor's degree in Business, Accounting, or a related field
4-5+ years of experience in project coordination, operations, or cross-functional support roles
Experience managing projects across multiple departments in a fast-paced environment
Experience working with overseas suppliers or contract manufacturers (Asia preferred)
Professional fluency in Mandarin Chinese strongly preferred
Advanced proficiency in NetSuite, Microsoft Office, and SharePoint
Advanced Excel skills required
Strong organizational, communication, and stakeholder management skills

4-5+ years of experience in project coordination, operations, or cross-functional support roles
